Choose external storage for backups and large files

An external drive can hold backup copies and other files; plugging one in does not automatically enlarge C: or move the live database.

Steps

  1. Choose a reputable USB SSD or hard drive compatible with your computer’s ports, with enough room for current backups and future copies. Confirm connector, capacity and warranty before buying; no particular brand is required.
  2. Connect the drive and confirm it appears in File Explorer. Do not format a drive containing files you need. If Windows asks to format an existing drive unexpectedly, stop and get help.
  3. Open Office & devices → Choose backup folder. Select a folder on that drive and verify the successful-backup time. Keep the drive connected for scheduled backups while the app runs.
  4. Move other large personal files only after verifying copies. Keep the live app database in its normal local location, not on removable, shared or cloud-synced storage.
  5. Use Windows safe removal after writes finish. Keep another protected backup because an external drive can also fail or be lost.

Check that it worked

The backup opens as a file at the selected location and the app reports a successful backup. C: still has space for normal operation.
