Steps
- Enter individual bills in Expenses & income → Add expense, using the expense date, amount and job or Company / shop overhead.
- Record invoice receipts under Invoices & payments → Record payment. Use Other income only for receipts outside the invoice workflow; do not enter the same receipt twice.
- Mark an expense paid and give its payment date when cash actually leaves. Approved employee time creates its own Labor expense; do not add the wages again.
- Open Company & settings, choose Reporting year and Save company settings. In Reports & exports, expand Cash & cost charts. Receipts use payment dates; the cost chart uses expense dates.
- For a selected month, quarter or year, use Reports & exports → Statement year and Statement period → Save statement PDF. The PDF lists included receipts and paid expenses. The full Excel export also includes Monthly cash and Quarterly cash for the company reporting year.
Check that it worked
One receipt of $100 and one paid expense of $40 in the same month produce $100 receipts, $40 cash spent and $60 net cash activity. Unpaid expenses affect recorded costs, not cash spent.
